The Whiddon Autumn Festival (WAF) is committed to protecting and respecting your personal information in line with UK data protection law. This Privacy Policy aims to provide transparency about the use of your personal data; it explains how and why we collect it, how it is used and how we keep it secure. It also explains your rights.
Your personal data is:
• kept secure and treated with care
• used only where necessary for running WAF
• never sold or traded with third parties
• shared only where necessary to provide our services or comply with the law
• not used to contact you for marketing unless you have agreed
We collect information when you interact with us, including purchasing tickets, signing up to our mailing list, becoming a Friend, or volunteering.
Visitors to our website
We use cookies to help improve your experience and to understand how our website is used. This includes the use of Google Analytics, which collects information such as IP address and browsing behaviour. This data is stored for 26 months. For more information please read our Cookie Policy (below).
Friends of WAF
We collect information about our supporters including your name, address, email address, level and history of donation. Access to this information is limited to Trustees and those who need it to administer WAF.
Volunteers
We collect names, telephone numbers, email addresses and, where relevant, home addresses (e.g. for our volunteer hosts).
We collect only information that is necessary and lawful. This may be:
• to fulfil a contract (e.g. ticket purchases, merchandise and donations)
• to keep you informed, where you have requested this (e.g. to inform you of bookings, events, updates and subscription renewals)
• for our legitimate interests (e.g. running and promoting WAF, managing volunteer and supporter relationships)
WAF is committed to protecting the information you entrust to us. We adopt robust and appropriate technologies and policies so the information we have about you is protected from unauthorised access and improper use.
We do not sell your data to third parties. We may share it with trusted providers such as ticketing platforms, email services, analytics providers, and authorities where required.
Photos and videos may be taken at events for promotional purposes. Please let us know if you prefer not to be included and we will do our best to respect your wishes.
If you wish to amend, review or stop receiving information from WAF, all our newsletters have a simple ‘unsubscribe' option, or you can contact us on hello@whiddonautumnfestival.co.uk
You have the right to:
• be informed about how your data is used
• access the data we hold about you
• correct inaccurate data
• request deletion of your data
• restrict or object to how your data is used
If you have any concerns about how we use your data, please contact us and we will do our best to resolve the issue. You also have the right to complain to the Information Commissioner’s Office (ICO).
We keep personal data only as long as necessary.
For example:
• financial and ticketing records are typically kept for up to 6 years
• mailing list data periodically reviewed and deleted when no longer needed or kept until you unsubscribe
• volunteer and supporter records are periodically reviewed and deleted when no longer needed
If you ask us to remove your data we may maintain a minimal record to ensure your request is respected.
We do not use automated decision-making or profiling.
